Wisconsin Alumni Association Privacy Statement

The most important function of the Wisconsin Alumni Association (WAA) is keeping alumni connected - to UW-Madison and to each other. Consequently, WAA compiles both public and private information about all alumni and WAA members. This notice is to inform you of how we use the information we collect and how you can limit that use.

WAA collects information about UW-Madison alumni (“Personal Information”) from various sources:

• information you send us, whether through correspondence, applications, e-mail, surveys, etc.
• information we receive from our business affiliates
• information we receive from UW-Madison's Alumni Records Office, which is a matter of public record

WAA shares Personal Information only with our university and business affiliates, and for very limited purposes:

WAA works closely with UW-Madison, the UW Foundation, regional alumni chapters and affinity alumni groups (e.g., the UW Band Alumni Association, the Daily Cardinal Alumni Association, etc.). We share information openly with these organizations.

WAA has also formed relationships with companies to provide certain products and services to alumni and to generate revenue that finances the benefits WAA provides to alumni and students. Before entering into business relationships with these companies, WAA considered their practices regarding the use of customer information. We have found them to be reputable, trustworthy organizations. We share Personal Information with them on a limited basis in connection with marketing their products and services.

These companies also may communicate directly with alumni by mail, by telephone, and by e-mail, to market their products and services. For that purpose, we provide them with contact information (name, address, telephone number, and e-mail address), subject to a detailed contract governing the use of that information . If you do not wish to be contacted by these companies, [or if you do not wish us to share your Personal Information with them] notify us at the address in the section below titled “Opting Out”.
We will remove your name from the lists we give them. Please be aware that mailings are often prepared several weeks in advance of shipping. We will try to get your name out of circulation as quickly as possible, but you may receive mailings for more than a month after requesting removal.

One of our business partners described above may contact you by telephone, in accordance with applicable law, in order to offer you the products and services that WAA has agreed to promote. Or, WAA may call you to, for example, offer a service or conduct a survey.

When a user logs on to our Web site, www.uwalumni.com, WAA's Web server automatically recognizes only the consumer's domain name (where possible), not the e-mail address. We do collect e-mail addresses, but only when users voluntarily submit them, either through correspondence or by listing them on application or registration forms.

WAA maintains a list of e-mail addresses so that we may keep interested alumni informed about WAA and UW events, both in Madison and in their areas. Therefore, in addition to sharing e-mail addresses with our business partners, we share e-mail addresses with regional alumni chapters and we compile them for our electronic newsletter, Badger Voice. If you do not wish to receive Badger Voice or any other e-mail correspondence, you may opt out by sending an e-mail to waa_optout@uwalumni.com.

Whenever a user logs on to uwalumni.com, our site stores a "cookie" -- a small piece of information -- on the user's hard drive. We use cookies for two purposes: to simplify the log-on process for online services and to allow users to personalize our Web site. Some areas of our Web site, including the online directory, require cookies; if you disable your browser's cookies, you will lose some functionality on our site.

WAA also collects aggregate information about which web pages and select emails consumers access or visit and any other information volunteered by a user, such as survey responses. This helps us evaluate and improve our site, and it is solely for use within the association.

Except as described in this Privacy Statement, WAA does not sell, or trade e-mail addresses or other electronic alumni information with any other organization for any reason.

One of the services we provide to UW-Madison's alumni is an online directory of the university's graduates. The directory displays contact information, including name, address, phone number, e-mail address and career information.

We administer this directory on our Web site, www.uwalumni.com, and access is free and access granted to all alumni who register.

Such permission is granted allowing alumni to use the directory for personal purposes only. The directory may not be used for commercial purposes, nor for any type of solicitation not approved by WAA. Violation of this policy may result in revocation of the privilege to use the directory.

You may restrict how much information (if any) is included in the directory. You may login to our website to update your profile and choose which information to make public. Or, please write to us at the address below.

Similar information was included in a commemorative, print edition of an all-alumni directory, printed in 2011.
