Preferred Method:
Step 1: Click on the following link
Hotel Reservations to register online for hotel accommodations.Enter in your check-in & check-out dates and click next to check hotel availability.
Step 2: Enter your check-in & check-out dates and click next to check hotel availability.
Step 3: Then browse through the list of hotels and click on Find Room.
Step 4: Select the room types needed for your reservation. You will be able to select multiple room types on the same reservation if rooms are available.
Step 5: Add guest names to each room/type by clicking on the person icon; any special requests may be made by clicking on the note pad icon.
Step 6: Enter in the contact information requested. You must provide an email address. Enter in your group information at the bottom.
Step 7: To guarantee your room, you must provide a valid credit card number.
Step 8: Review your reservation and acknowledge the hotel's cancellation policy by clicking the box. If everything is correct, click submit.
Step 9: After submitting your reservation, print out copy of acknowledgement for you records. You will receive confirmation from Meeting Max via e-mail after your reservation is processed by the hotel.
Secondary Method: (If you don't have access to the internet or cannot make your Reservation online).
Step 1: Fax/Mail your request to the First Year Parents' Weekend housing bureau. ** Please note: Online housing reservations have first priority. Forms will not be processed for 24-48 hours.
Step 2: Click on the following form to review hotels. Hotel Listing Form(Hyperlink the hotel listing doc)
Step 3: Click on the reservation form. Fill out all fields and mail to: First Year Parents' Weekend 2008 Housing, c/o Greater Madison Convention & Visitors Bureau, 615 East Washington Avenue, Madison, WI 53703 or fax to: 608.441.7010 by Tuesday, October 14, 2008.
Step 4: Check your e-mail for a hotel confirmation. Once your reservation has been made by the GMCVB, it is a confirmed reservation. However, it will take several days for the hotel to process your reservation. Once that occurs, you will receive an e-mail confirmation via Meeting Max.
Step 5: If you need to make changes or cancel your reservation, please do not contact the hotel directly. For changes and cancellations on an existing reservation, please click on the link sent to you in at the bottom of your Meeting Max confirmation e-mail.
